Job description

Purpose & Scope:

The Trauma Performance Improvement Specialist will work at the direction of the Trauma Coordinator and Trauma Medical Director. The trauma PI specialists chief responsibility is to act as a resource to the trauma service line. The PI specialist conducts the collection, surveillance, data entry, analysis and reporting of trauma quality and performance improvement information from medical records as well as other resources. The trauma PI specialist ensures data collection, management, analysis, and performance improvement requirements are met for a Level II trauma center. The PI specialist acts in a pivotal capacity for attaining and maintaining level II trauma center designation and verification. Excellent communication and organizational skills, critical thinking, and ability to pay close attention to detail are essential. Must be reliable, dependable, and able to initiate and complete projects of moderate complexity with limited supervision. He/she will demonstrate the ability to work independently, as well as collaboratively with teams. The candidate must be able to work in a high-pressure environment subject to multiple and changing priorities and demands. This position primarily is a weekday only position but the candidate must be able to work additional hours at times to support large projects and/or to prepare for regulatory reviews. This may require evening and/or weekend hours to meet deadlines and preparation goals. It should be noted this is not a patient care role.

Education:

Bachelor's degree in an approved related field is preferred.

Experience:

Five years experience in Healthcare, Emergency Services, Critical Care , or Critical Care transport is required.

Certification/Licensure:

Licensed as a Registered Nurse by the Virginia Department of Health Professions, or compact state, is required.

Trauma Certified Registered Nurse (TCRN) is preferred, or

Certified Abbreviated Injury Scaling Specialist (CAISS) is preferred.

Other Qualifications

Completion of TOPIC (Trauma Outcomes and Performance Improvement Course) within 1 year of hire if not obtained prior
Completion of AIS (Abbreviated Injury Scaling)Course and Trauma ICD 10 course within 2 years of hire
Proficiency with Microsoft Office suite and computer literacy
Mastery in working with Excel spreadsheets
Excellent organizational skills and time management


Duties:

  • Develops and maintains an efficient system to routinely review trauma program cases and quality initiatives at the direction of the Trauma Program Director (TPD) and Trauma Medical Director (TMD).
  • Organizes trauma quality information in a timely manner that can be easily retrieved and reviewed by the TMD and TPD.
  • Communicates existing or potential trauma performance improvement issues and opportunities identified in trauma case evaluation and reporting trends to the Trauma Medical Director and Trauma Program Director in a timely manner.
  • Demonstrates excellent attention to detail and critical thinking skills to identify, report, and resolve trauma performance improvement opportunities while highlighting best practices.
  • Prepares and archives agendas, minutes, and supporting documentation for trauma program meetings and the trauma performance improvement program.
  • Observes trauma team activations for trauma PI opportunities and best practices.
  • Attends trauma multidisciplinary rounds to gather trauma PI data and enters pertinent information such as audit filter triggers, complications, and other pertinent PI data into the trauma database and daily trauma logs.
  • Coordinates and monitors daily workflow (timely entry of new patients, entry of data, closure of records)
  • Actively seeks clarification from the multidisciplinary team for trauma performance improvement issues when necessary.
  • Utilizes the trauma database, electronic health record, and other information resources to develop reports, presentations, and case summaries.
  • Develops a relationship with the trauma database vendor support team to design reports, perform upgrades or revisions of the software, or troubleshoot any difficulties.
  • Performs data validations of trauma case data in collaboration with the lead trauma registrar, reporting any validation rates below 80% for any single field or data abstractor to the TPD.
  • Demonstrates the ability to build and retrieve new reports as needed in the trauma database and EHR
  • Demonstrates ability to prepare reports and presentations in a timely and professional manner with preparation and revision for different audiences at the direction of the TPD and TMD.
  • Assists with submission of trauma case data to the Virginia State Trauma Registry (VSTR), National Trauma Databank (NTDB), and/or TQIP (ACS Trauma Quality Improvement Program), correcting any outliers prior to submission.
  • Acts to assure continual readiness for and participates actively in inspection of the Trauma Services at VHC by national, state, and/or regional regulatory agencies such as The Virginia Office of Emergency Medical Services and/or American College of Surgeons.
  • Assists with training of other trauma program staff members with respect to the trauma database, data collection, report-writing, and trauma PI processes.
  • Maintains professional development and currency with data standards as set forth by regulatory agencies, department policy, and VHC Health.
  • Represents the VHC trauma program at various meetings, committees, and/or educational offerings at the direction of the TC.
  • Assists in general office clerical and management duties.
