Your Role as Accounting Coordinator
The Accounting Coordinator will have the responsibility for supporting the financial monthly closing process. This role is responsible for accurately coding invoices, ensuring proper approval and entering them into the accounts payable system for timely payment. This role will also oversee all aspects of the employee reimbursement process. In addition to these key responsibilities, this role will perform the payroll import process and record all banking activity to the general ledger. This role will assume project management responsibilities as we continue to implement new systems and processes to improve efficiency. The role will assist in managing annual audits and fulfill other accounting requirements, as needed.
Accounts Payable: Manage all Accounts Payable functions. Maintain current and accurate vendor records and process weekly expense transactions including invoices, reimbursable employee expenses and company credit card charges. Perform weekly check runs and process electronic payments through online banking portal.
General Accounting: Create and enter general ledger journal entries for month-end close. Ensure proper documentation and retention of accounting records as required by all applicable laws. Establish and document accounting procedures for the organization that provide for business continuation. Protects organization's value by keeping information confidential. Monitors and analyzes department work to develop more efficient procedures and use of resources while maintaining a high level of accuracy.
Account Reconciliations: Perform account reconciliations as necessary to verify and validate entries into the accounting system. Perform monthly entry of all banking activity and support Senior Director of Finance with the completion of monthly bank account reconciliations. Review and assist with the preparation of account reconciliations prepared by other finance team members. Provide guidance on account reconciliation preparation, as needed.
Monthly Financial Statements and Year End Close-Out: Prepare journal entries as needed so that revenue and expenses are properly allocated to program and support functions. Update and retain all supporting documents and subsidiary records.
Budget Preparation: Prepare site expense budgets in close collaboration with site personnel and other members of the finance team. Assist other members of the finance team with budget for prepaid expenses and depreciation for all College Possible sites.
Audit Engagements: Work with the Senior Director of Finance and Finance Manager in planning and preparation for any and all audits, College Possible is subject to a Federal organization-wide audit annually (Office of Management and Budget A-133). Provide guidance during the audit as needed and assist with management responses as required.
Ethical Practices: Complies with all federal, state, and local fiduciary requirements. Adheres to College Possible's standard operating procedures and ethical guidelines.
Cross Functional Teamwork: Collaborates with the other departments to support overall department goals and objectives, as it relates to the Finance Department. Assist in development and implementation of new procedures and features to enhance the workflow of the department. Updates job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations.
Training: Provide training to new and existing staff as needed for expense reimbursement and accounts payable functions.
Other duties as assigned.
What You Bring
Education/Certifications/Licenses:
  • Bachelor's degree in Finance, Accounting or related field preferred;

Related Work Experience:
  • A minimum of three years of work experience in an office environment;
  • Experience in the field of non-profit accounting or fundraising preferred.

Computer/Software Skills:
  • Strong computer skills, including demonstrated proficiency in Microsoft Office suite (Excel/Word/Outlook/PowerPoint) and accounting software;
  • Experience with accounting applications such as Sage Intacct, QuickBooks, or similar software required.
