Job description

Position Summary

The Marketing Coordinator partners directly with the Chief Marketing Officer on a wide and evolving scope of work spanning event coordination, social media, blog management, HubSpot operations, and reporting. The Marketing Coordinator is energized by variety, comfortable shifting between strategic and tactical work in the same day, and has a bias toward action when priorities shift. This role supports the continuous improvement of marketing processes and workflows and reports directly to the Chief Marketing Officer.

Job Duties & Responsibilities

  • Coordinates event logistics and on-site execution for 8-12 annual trade shows and conferences.
  • Manages all contracts, reservations, travel, shipping, packing, and logistics of booth and materials for trade shows, including invoice processing and budget tracking in partnership with Accounting.
  • Handles data entry, lead assignments, CRM list load, and list management for trade shows, events, webinars, and campaigns.
  • Monitors marketing materials inventory and works with print, promotional, and trade show vendors to order new materials
  • Acts as a project coordinator, conduit, and support role with marketing agencies and freelancers to support strategic initiatives.
  • Conducts basic HubSpot troubleshooting and data cleaning. Set up/deactivate user seats/licenses.
  • Supports document updates, version control, and materials organization on SharePoint and HubSpot.
  • Creates and maintains performance reports with key departmental data, including marketing and sales pipeline details, sales figures, and trade show tracking.
  • Oversees and executes weekly social media activities across platforms, including content coordination, design support, HubSpot/WordPress load, and scheduling.
  • Supports creating and distributing email campaigns, newsletters, and announcements.
  • Takes on special projects and net-new initiatives as the marketing function evolves. Other duties as assigned.

  • Experience working in a growth-stage organization is preferred.
  • Experience with marketing automation tools and building sales-connected workflows within CRM (HubSpot highly preferred).
  • Experience creating design documents in Adobe Creative Suite, Canva, or similar platform.
  • Experience with online analytics tools/dashboards and KPI tracking
