Position Summary
The Embedded Caris Operations Manager (ECOM) is responsible for managing end-to-end operational workflows and case execution in support of client precision medicine programs. This role serves as a trusted operational partner to providers, pathology teams, and internal stakeholders, ensuring reliable execution, workflow efficiency, and a high-quality provider and patient experience from order initiation through report delivery. Operating with autonomy, the ECOM owns workflow performance and case-level execution, proactively identifying and resolving issues that impact timeliness, accuracy, and overall experience.
Job Responsibilities
  • Own and manage the end-to-end lifecycle of assigned cases, ensuring accuracy, completeness, and timely progression
  • Review and verify test orders and documentation; resolve discrepancies proactively
  • Coordinate with providers, clinic staff, pathology teams, and internal teams
  • Monitor case status and implement corrective actions
  • Maintain a primary focus on case management excellence across the full lifecycle
  • Proactively resolve issues impacting case quality, turnaround time, or provider experience
  • Maintain working knowledge of products, services, and platforms
  • Submit required reports and documentation accurately and on time
  • Serve as a primary operational partner and point of contact for providers
  • Provide guidance on ordering processes, EMR workflows, and documentation
  • Establish and maintain proactive, ongoing communication with providers and care teams
  • Provide education on products, tools, clinical applications, appropriate patient selection, and testing indications
  • Support training and onboarding of new and existing staff on workflows, systems, and procedures
  • Assist providers with ordering processes and general understanding of reports within approved scope
  • Reinforce standardized workflows and best practices to improve case quality and turnaround time
  • Coordinate documentation management and report distribution
  • Support billing-related inquiries through internal coordination
  • Maintain tracking of case activity and operational metrics
  • Ensure seamless coordination across all workflow touchpoints to minimize disruption
  • Execute responsibilities in alignment with policies, SOPs, and regulations
  • Maintain audit-ready documentation
  • Identify and escalate risks impacting case integrity, turnaround time, provider experience, or patient care
  • Participate in training and improvement initiatives.
  • Accurately document all case activity and stakeholder interactions in CRM and internal systems
  • Maintain regular communication with internal teams to share case trends, challenges, and improvement opportunities
  • Share operational insights and best practices to improve execution and consistency
  • Drive improvements in turnaround time, documentation completeness, and case quality
  • Identify workflow inefficiencies and implement improvements
  • Contribute to operational consistency and performance optimization across teams

Client-Specific Customization & Site Integration
  • This role is intentionally designed to be adaptable to the unique culture, expectations, and operational environment of each client site. While core responsibilities, compliance requirements, and scope-of-practice guardrails remain consistent, select elements of the Clinical Operational Specialist role may be customized to ensure optimal fit, effectiveness, and value realization.
  • Customization is governed through a structured, documented process and approved by Caris leadership to protect regulatory integrity and operational consistency.

  • Adaptation of communication style, on-site presence, and daily engagement to align with the client's clinical culture, patient population, and multidisciplinary care model.
  • Role Emphasis & Coverage Model
  • Adjustments in focus areas (e.g., phlebotomy-forward support, specimen processing, pathology coordination, clinic-facing execution) based on site needs, volume patterns, and approved scope.
  • Operating Rhythms & Integration
  • Alignment of schedules, coverage windows, escalation pathways, and interaction cadence with clinic flow, pathology operations, and care team practices.
  • Client-Specific Success Metrics
  • Site-level operational goals such as turnaround time improvement, redraw or QNS reduction, access optimization, documentation completeness, or patient experience support, defined at deployment.
  • All customization remains subject to Caris Life Sciences' compliance, risk, and quality standards and may not expand scope beyond approved clinical activities.

Required Qualifications
  • Bachelor's degree or equivalent experience
  • 3+ years of healthcare or diagnostics experience
  • 3+ years provider-facing or customer-facing experience in clinical environments
  • Strong problem-solving and decision-making skills in real-time situations
  • Understanding of clinic-based workflows and healthcare delivery environments
  • Ability to learn and effectively use proprietary systems and platforms
  • Demonstrated ability to manage complex workflows
  • Valid driver's license

Preferred Qualifications
  • Oncology, molecular diagnostics, or precision medicine experience
  • Experience supporting physicians in clinical environments
  • Experience managing end-to-end case workflows
  • Cross-functional collaboration across care teams
  • Knowledge of compliance and regulatory requirements
  • EMR and clinical systems familiarity
  • Strong analytical and communication skills
  • Clinical or office-based environment
  • PHI access required
  • Ability to manage multiple concurrent cases with high accuracy and attention to detail
  • Ability to sit/stand for extended periods
  • Periodic travel required, including possible evenings, weekends, or holidays.

Annual Hiring Range
$70,000 - $90,000
Actual compensation offer to candidate may vary from posted hiring range based upon geographic location, work experience, education, and/or skill level. The pay ratio between base pay and target incentive (if applicable) will be finalized at offer.
