Job description

We are looking for an experienced Contracts Manager to support contract operations for a Long-term Contract opportunity based in Portland, Maine. This role will oversee agreement intake, review coordination, and records management while helping teams work efficiently and stay aligned with internal standards. The ideal candidate brings strong organizational skills, sound judgment, and the ability to partner effectively with Legal, Sales, Finance, and Procurement.
Responsibilities:
• Manage the review, routing, and status tracking of non-disclosure agreements involving customers, suppliers, and business partners while confirming consistency with company guidelines.
• Administer contract management and workflow platforms such as Salesforce, DocuSign, Asana, and Smartsheet to support intake, document storage, reporting, and day-to-day legal operations.
• Coordinate approval processes across departments, maintain accurate version history, and escalate legal or commercial issues when additional review is required.
• Prepare contract summaries and organize key agreement data to assist with audits, compliance reviews, reporting requests, and risk assessments.
• Partner with Legal, Sales, Finance, and Procurement teams to reinforce contract governance practices and promote adherence to internal policies.
• Support administrative activities across the contract lifecycle, including documentation upkeep, process support, and operational improvement efforts.
• Maintain clear, well-structured contract files and refine documentation practices to improve accessibility, retrieval, and record accuracy.• Bachelor’s degree in Business, Law, or a related discipline is preferred.
• 3–5 years of experience in contracts management, ideally within an in-house legal team or a comparable business environment.
• Working knowledge of commercial contracts, contract administration, and contract lifecycle processes.
• Experience supporting contract negotiations and drafting or revising agreement language.
• Proficiency with contract and workflow tools such as Salesforce, DocuSign, Asana, Smartsheet, or similar systems.
• Strong attention to detail with the ability to manage multiple agreements and deadlines simultaneously.
• Effective communication skills and the ability to collaborate with cross-functional stakeholders.
• Ability to analyze contract terms, organize key data, and support reporting or audit-related activities.
