Location: Chicago, IL (Hybrid – Minimum 2 days onsite at 151 N Franklin St., with an as-needed 3rd day)

Position Overview
We are seeking a highly organized, proactive, and tech-savvy Administrative Assistant II to support senior leadership, including two SVPs and multiple VPs. This role requires a detail-oriented professional who thrives in a fast-paced environment, can manage multiple priorities, and demonstrates strong communication and problem-solving skills.
 
Key Responsibilities
Administrative Support
 
  • Coordinate and manage complex meeting logistics including agendas, materials, attendance, A/V setup, room bookings, and catering
  • Attend meetings, capture notes, track deliverables, and follow up on action items
  • Manage multiple executive calendars and prioritize scheduling needs
Executive & Operational Support
 
  • Prepare presentations, staff memorandums, reports, and organizational charts
  • Arrange business travel, including flights, accommodations, and transportation logistics
  • Support planning and execution of Town Halls, Leadership Meetings, and executive events
  • Coordinate visits for Chicago Home Office and international executives
Communication & Coordination
 
  • Maintain contact databases and team organizational charts
  • Serve as a point of contact for routine inquiries, escalating when necessary
  • Collaborate effectively with internal administrative teams and global stakeholders
Project & Process Management
 
  • Assist with special projects and corporate administrative duties as assigned
  • Manage expense reports and invoice processing
  • Identify opportunities for process improvements and efficiency gains
  • Adopt and leverage new technologies, including AI tools, to enhance productivity
Required Skills & Qualifications
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), O365 Copilot, and Adobe Acrobat
  • Strong written and verbal communication skills
  • Excellent organizational and time management abilities
  • High level of discretion in handling confidential information
  • Strong attention to detail and proofreading skills
  • Ability to multitask and work under pressure with competing priorities

Education & Experience
  • Bachelor’s degree with at least 2 years of executive assistant experience
    OR
  • Minimum of 5 years of progressively responsible administrative assistant experience
