Staffing Coordinator - Senior Living

What You'll Do:
  • Coordinate and maintain all nursing staff schedules, including daily assignments, master schedules, staffing adjustments based on census, and coverage for weekends, holidays, events, and special programs.
  • Monitor staffing levels to ensure adequate coverage, proactively communicate staffing concerns to leadership, and track overtime utilization.
  • Manage scheduling systems and workforce data, including OnShift accuracy, time-off requests, vacation and sick leave tracking, missed punches, and payroll-related scheduling verification.
  • Support recruitment and onboarding efforts by tracking open positions, reviewing applicants, attending recruiting events, coordinating pre-employment requirements, and facilitating new hire system access and orientation.
  • Collaborate with Nursing, Staff Development, Human Resources, and Payroll teams to ensure employee records, required medical documentation, and onboarding processes are completed accurately and timely.
  • Monitor employee compliance requirements, including professional license tracking and maintenance of staffing-related records.
  • Prepare and distribute staffing reports, daily schedules, and required census documentation in accordance with organizational and regulatory requirements.
  • Maintain professional standards, participate in ongoing training and development, comply with organizational policies, report concerns as required, and perform additional duties assigned by leadership.

What You'll Need:
  • High school diploma or equivalent
  • An active Massachusetts CNA license in good standing is beneficial
  • Previous experience working with payroll systems and payroll-related processes
  • Experience with ADP payroll and timekeeping functions is preferred
  • Experience using healthcare staffing and scheduling practices within a long-term care or skilled nursing setting
  • Experience with OnShift scheduling software is preferred
  • Ability to read, write, and follow instructions in English
